The Brandman Centers for Senior Care (BCSC), a Program of All-inclusive Care for the Elderly (PACE), provides high-quality, comprehensive healthcare services. We are a program of Los Angeles Jewish Health, renowned for providing quality care to vulnerable seniors.
The responsibilities of the Center Administrative Assistant include, but are not limited to:
Administrative Functions:
- Responsible for training non BCSC transportation coordination as defined below.
- Provide training in creating authorizations for alternative transportation company as required and requested by any of the following disciplines
- Outside Specialist
- PT/OT
- Dental
- In Clinic Appointments
- Psychology
- Activities
- Center Attendance
- Social Services
- Order Office Supplies for Reseda
- Reply to Direct line emails/calls
- Input tickets to IT and maintenance department for repairs
- Expense Reports for all Disciplines
- Reimbursements
- Travel
- Assist in scheduling interviews for Administration
- Send out notifications via Voice Friend for various events
- Oversee Reception area and Cover when needed
- Schedule Quarterly PAC meetings (Participant Advisory Committee)
- Invite participants, family members, boards members, community members and staff.
- Create meeting packets
- Agenda
- Minute meetings
- Flyers
- Sign in sheet
- Record for minutes
- Create Tent Cards for attendees
- Create Care plan and Quarterly Schedule on a monthly bases and email
- Add Care plan and Quarterly schedule to white board in Large Conference Room
- PCO Super user
- Train staff on SDR (Service Determination Request)
- Complete SDR audits and Care plan audits for compliance purposes
- Prepare IDT daily notes on a daily bases
- Add new events from emails / directline
- Prepare daily Service Determination Request Universe folder on a daily basis
- Print and distribute HOpps reports from Cerberus Web Client
- Quarterly to Blue/Green Team and WLA
- Print Suspect Worksheet from Cerberus Web Client for Dr. Ott
- Add Request Time Off Request to Outlook Calendar
- Demonstrates respect for and promotes participant rights including dignity, self-determination, access to care, confidentiality and independence.
- Understands the importance of community involvement and participates as appropriate in activities that link BCSC to its communities.
- Effectively collaborates with staff peers and contractors to meet BCSC goals and further success.
- Complies with all policy and procedures of BCSC.
- Demonstrates proficiency in delivering age-specific care.
- Consistently meets or exceeds BCSC quality assessment and performance improvement targets.
- Completes all other duties as assigned.
Education and Experience:
- Degrees and diplomas: High school diploma. Bachelor’s Degree preferred but not required.
- Certificates, licenses: Must have a valid California driver’s license. TB screening and successful completion of a health examination by a health care provider is required for employment.
- Experience: Qualified Center assistant professional in the field of aging services with demonstrated competence. At lease one year experience as an administrative assistant. One year of experience with the frail elderly.
- Skills/Aptitudes: Bilingual Spanish preferred. Ability to work independently and to provide administrative support to an Interdisciplinary Team. Good organizational skills. Ability to handle complex interpersonal situations.
