The responsibilities of the Medical Staff Manager include, but are not limited to: 

Responsibilities:

The Medical Staff Manager is responsible for the overall leadership, coordination, and day-to-day operations of the Medical Staff Office. This includes planning, organizing, implementing, and evaluating functions related to credentialing and privileging of providers. The role ensures compliance with applicable federal and state regulations, Joint Commission standards, and internal Bylaws, Rules & Regulations (R&Rs), and Policies & Procedures (P&Ps).

Credentialing & Privileging

  • Coordinate initial appointment and reappointment credentialing processes by entity, ensuring compliance with Joint Commission standards and entity-specific Bylaws.
  • Collaborate with the Contracts Department to align provider start dates with contract execution.
  • Maintain accurate provider files, both electronically and in hard copy.
  • Verify credentialing documentation via primary source verification and ensure timely application processing.
  • Prepare and submit credentialing files for review and approval by the CMO, Medical Executive Committee (MEC), Interdisciplinary Practice Committee (IPC), and Board of Directors as applicable.
  • Prepare, obtain approval for, and distribute letters related to Temporary, Initial, Reappointment, and Locum Tenens privileges.
  • Provide regular notification to internal stakeholders regarding provider status changes and maintain current provider lists by entity.

Administrative Oversight

  • Ensure accuracy and completeness of all credentialing and re-credentialing applications.
  • Prepare detailed Credentialing Coordinator Reports for committee review, submitted at least two weeks in advance.
  • Update master privilege lists and ensure credentialing files reflect Board-approved privileges and appointments.
  • Distribute Medical Staff communications, including award letters, within 14 days of Board approval.
  • Maintain and update FPPE (Focused Professional Practice Evaluation) and OPPE (Ongoing Professional Practice Evaluation) tracking systems.
  • Coordinate dissemination, tracking, and follow-up for FPPE/OPPE documents and maintain all related records securely.

Meetings & Committee Participation

  • Attend and actively participate in Bylaws, Leadership, Medical Records, Focus Review, IPC, MEC, and Governing Board meetings as needed.
  • Draft and update Medical Staff Office policies and procedures, including Bylaws, R&Rs, and Nurse Practitioner protocols.
  • Maintain practitioner database, including “5150 Designation” practitioners and compliance audit statistics.
  • Provide monthly updated lists of active Medical Staff to appropriate departments.
  • Serve as liaison between the Medical Staff and internal departments, as well as with external providers.

Provider Onboarding

  • Facilitate new provider onboarding process, including distribution and processing of HR and credentialing applications.
  • Submit insurance documentation to relevant internal and external parties.
  • Ensure Certificates of Insurance (COIs) are collected and properly filed.
  • Meet with new providers for orientation, including ID badge authorization and parking permits.

Education and Experience:

Education: Associate degree in Health Services or related field required. Bachelor’s degree or equivalent training/experience preferred.

Experience: Minimum two years of experience in credentialing within a healthcare facility, medical group, or health insurance setting.

Skills: Deep understanding of credentialing processes, reappointment procedures, Medical Staff Bylaws, and regulatory requirements. Proficiency with credentialing databases and Microsoft Office Suite. Strong analytical, organizational, and problem-solving skills. Excellent written and verbal communication abilities. Ability to manage sensitive information with confidentiality and professionalism.
